This policy explains how K's Plumbing Store ("we", "us"), of 285-291 Wanstead Park Road, Ilford, IG1 3TR, collects and uses personal information when you use this website, open an account, or order from us, including through our WhatsApp order line. We are the data controller for this information.

What we collect

Account details: your name, company name, business email, mobile number, company address, who handles your invoices, years trading and the product categories you're interested in.
Proof of trade: the documents you upload so we can check you're a trade business, and any registration numbers you give us.
Orders: what you order, delivery addresses, order notes, invoices and payment status.
Messages: emails and WhatsApp messages you send us, and verification codes we send you.
Technical data: a login cookie that keeps you signed in, and basic server logs.

How we use it and our legal basis

To check and approve your account, and to run it (contract, and our legitimate interest in selling only to trade customers).
To take, invoice, deliver and support your orders (contract).
To keep accounting and tax records (legal obligation).
To prevent fraud and keep our systems secure (legitimate interests).
To send offers and promotions by email and WhatsApp, only if you opt in. You can opt out at any time (consent).

Who we share it with

We share information only with service providers who help us run the business: our website hosting provider, our email provider, WhatsApp (Meta Platforms) for order and verification messages, our bank and payment providers, delivery partners, and our accountants. They may only use your information to provide their service to us. We never sell your personal information.

Some providers, such as WhatsApp and our hosting provider, may process data outside the UK. Where they do, we rely on appropriate safeguards such as the UK International Data Transfer Agreement or adequacy regulations.

How long we keep it

We keep account information while your account is open and for up to 2 years after it closes. We keep order and invoice records for 6 years for tax purposes. We delete proof-of-trade documents within 12 months of a decision on your application, unless we need them for an ongoing issue.

Your rights

You can ask us for a copy of your information, ask us to correct or delete it, object to or restrict how we use it, or ask us to transfer it. You can withdraw marketing consent at any time.
